How to follow up on an unpaid invoice with a clear record
Review the actual balance and sending state, then write a specific follow-up through your usual communication channel.
A useful invoice follow-up gives the customer enough context to respond. Before writing it, check the issued document, its outstanding amount, and the payments already recorded.
The short version
Verify the invoice and remaining balance, acknowledge any partial payment, and ask a clear question. Klaq provides the billing record for this review. This guide uses a manual follow-up process; it does not claim automatic reminder campaigns or invoice-open tracking.
Check the facts before sending another message
Open the correct invoice and review its number, customer, dates, currency, and outstanding amount. Look at recent payments and adjustments in case the balance has changed since your earlier message.
Also review the email state if you queued the document through Klaq. A queued request is not the same as provider acceptance, and provider acceptance does not prove the customer received or read it.
If the original email failed, address the sending issue before assuming the customer ignored the invoice.
Keep the message short and specific
Use your normal customer communication channel. A straightforward message can say:
Hello, I'm following up on invoice [number], issued on [date]. Our current record shows [amount and currency] outstanding. Could you confirm whether you received the invoice and let me know the expected payment timing?
Replace every placeholder with the actual record. If a partial payment arrived, acknowledge it and state only the remaining amount. If the customer reports a mismatch, review the record together before changing it.
Give the customer a clear next step
Attach or share the issued PDF when it helps the recipient identify the request. Ask for the missing detail: receipt confirmation, a payment reference, a corrected contact, or an expected date.
Avoid claiming you know that the recipient opened the invoice. Avoid promising a reminder schedule that has not been configured in the product.
Update the record after the conversation
Record an actual payment when you can identify it. Keep customer contact information current for future documents. If the issue concerns the amount owed, review the appropriate financial actions rather than creating duplicate payments or a second invoice for the same work.
Common questions
Does Klaq schedule this message automatically?
No. The current invoice workflow supports explicitly queued invoice emails. Automated payment-reminder sequences are not part of this guide.
Should I change an invoice to paid because the customer promised to pay?
No. A promised payment and a recorded payment are different events.
Read invoice, payment, and email states before choosing your next action.
