Request time off with a clear view of the dates and balance

Preview a leave request, check the working-time calculation, and submit it to an independent administrator for a decision.

A leave request is easier to review when the dates, working-time calculation, and available allowance are clear before submission. Klaq's Time Off app lets you preview the request before it enters the approval process.

The short version

Choose an assigned leave policy, select eligible dates or sessions, and review the calculation preview. Submit the request when the details are correct. A pending request reserves allowance while an independent owner or administrator reviews it.

Check the policy and assignment first

Your workspace administrator configures the policy and assigns it to employees for the relevant year. A policy describes the available request rules; an assignment connects those rules and allowance to the employee.

Check that the assignment covers the dates you are requesting. A cross-year request needs the applicable assignments for the years that will be charged.

If an allowance or assignment looks wrong, ask the administrator to review it before submitting a different request just to make the balance fit.

Choose the actual time you need

Use full days, an eligible half-day session, or an hourly request when the policy supports it. Hourly requests cover one date, fit the configured working interval, and follow the policy's increments.

The workspace schedule and holidays affect the calculation. A date range on the calendar is not necessarily the same as the number of working days charged.

Past leave requests are not part of this request workflow. An administrator can use the appropriate balance correction process when a historical adjustment is needed.

Read the preview before submitting

Review the dates, sessions or times, and charged amount. The preview explains the calculation under the current policy and schedule.

Klaq stores the calculation context with the request. Later schedule or holiday changes do not silently recalculate that submitted request into a different charge.

Wait for an independent decision

Submission creates a pending request. Pending allowance is reserved, which can change what remains available for another request before the first is approved.

An owner or administrator reviews the request. Self-approval is prohibited, including for owners. An administrator requesting leave needs another active owner or administrator who can decide it.

Common questions

Can everyone see my reason on the team calendar?

The shared calendar shows limited availability information. It does not expose private reasons, balances, or decision details to other members.

Can I edit an approved absence simply by sending a new request?

Use the cancellation workflow for the approved absence first rather than creating conflicting records.
