Why a pending time-off request changes your available balance

Understand earned allowance, pending reservations, approved leave, and carryover without treating future accrual as already available.

An available leave balance should account for requests already waiting for a decision. Otherwise, two overlapping submissions could appear to use the same allowance. Klaq reserves pending leave so the balance reflects those commitments.

The short version

Available allowance considers grants and earned credits, adjustments, approved consumption, cancellation reversals, and pending reservations. A pending request can reduce availability before it becomes approved leave.

Start with earned allowance

Your assignment may use an annual grant or monthly accrual, depending on the policy configured by the administrator. A monthly policy makes allowance available as it is earned; it does not treat all projected future credits as spendable now.

An opening allowance can represent the starting position of an assignment. It has different effects under annual and monthly allocation, so administrators should check the assignment setup rather than repeatedly adjusting the displayed balance to an assumed total.

Follow a request through the balance

When you submit a request, the required allowance is reserved while the decision is pending. Approval replaces that reservation with approved consumption.

If the request is rejected or withdrawn, the pending reservation is released. This is why the available amount can change even though you have not yet taken any leave.

A cancellation request for approved leave follows a different path. The approved consumption remains until the cancellation is approved.

Read carryover with its dates

If the policy supports carryover, the eligible unused earned allowance can transfer subject to the configured cap and expiry. Old carryover is not repeatedly carried forward as new earned allowance.

The dates of the absence matter. Leave after a carryover expiry cannot consume an expiring bucket merely because the request was submitted earlier.

These rules make the ledger history more useful than a single day-equivalent number when you are trying to explain a change.

Ask for an explained correction

Administrators can make balance adjustments with a required reason. Use that process for a genuine correction and keep the reason understandable to the employee and later reviewer.

Balances are stored in minutes. The displayed day equivalent depends on the configured workday duration, so changing the duration can alter that display without rewriting the underlying minute balance.

Common questions

Does pending mean the leave has been approved?

No. It means the request is waiting for a decision and its allowance is reserved.

Can I spend allowance I will earn later?

Requests use available earned allowance under the applicable rules, rather than assuming all future accrual has already happened.

Continue with requesting time off or approved-leave cancellations.
