A client onboarding checklist from CRM to the first invoice
Set up the shared customer, project, tasks, and billing documents deliberately without assuming an automatic sales-to-invoice handoff.
A new client needs a clear path from the first conversation to the first piece of delivery work. In Klaq, CRM, Tracker, and Invoice provide different parts of that path within the selected workspace.
The short version
Confirm the customer, organize the opportunity, create the delivery project, define the tasks, and prepare the appropriate billing document. Check each handoff instead of assuming that changing one record creates everything else.
1. Confirm the customer identity
Search the shared customer directory before adding a person or company. Check the name and contact details, then complete the billing information you need for future documents.
A contact and a company are different record types. Choose the type intentionally and keep their relationship understandable. Similar names alone do not prove that two records should be treated as the same customer.
2. Capture the opportunity context
Use CRM to keep the lead or deal and the next sales activity together. When a lead is qualified, use the conversion workflow to create the appropriate contact and deal records.
Record what you know about the work, then confirm the scope through your normal customer communication. CRM stages describe the sales process; they do not replace a customer agreement.
3. Create the delivery project
Create a Tracker project for the work and select the appropriate customer. Set useful project dates and an estimate when you have one.
Choose the project currency carefully if the work will later become an invoice from tracked time. That invoice workflow requires a currency match.
4. Make the first tasks concrete
Break the work into tasks with clear outcomes. Use due dates, priority, billable status, checklists, and comments where they help someone understand the next step.
Keep task estimates focused on each task's own work. Do not include a subtask's estimate again in its parent merely to make the parent look complete.
5. Prepare the billing step
Create an estimate or invoice when it matches the stage of the engagement. Check the customer, descriptions, prices, currency, and dates before finalization.
Klaq does not automatically create a project when a deal is won or issue an invoice when a task is completed. These are deliberate handoffs for you to review.
Common questions
Do I need three separate customer records?
No. The shared directory connects the customer identity across these apps within the workspace.
Is there a customer onboarding portal in this workflow?
This checklist covers your internal workspace process. It does not claim a customer portal or a contract-signing flow.
Read shared customers, project scope, and your first invoice.
