How to send your first invoice in Klaq
Create a draft, check the customer and totals, finalize the invoice, and share the PDF with a clear record of what happens next.
Your first invoice should make three things clear: what work you did, what the customer owes, and when payment is due. In Klaq, you can prepare those details as a draft before creating the issued document.
The short version
- Choose the correct workspace and customer.
- Add the work, quantities, prices, currency, and dates.
- Review the draft before finalizing it.
- Download the PDF or explicitly queue an invoice email.
- Record payments when they arrive.
Start with the customer
Open Invoice and choose the customer you are billing. Klaq uses a shared customer directory across CRM, Tracker, and Invoice, so check whether the person or company already exists before adding another record.
Confirm the billing name, email, and address. A similar business name is not enough to establish that you have selected the right customer. Make this check before finalization because the issued invoice keeps a snapshot of those details.
Make the work easy to recognize
Use descriptions that connect each line to an agreed deliverable. “Homepage design, final delivery” is more useful than “Design work.” Enter the quantity and price, then check the currency and total. Review any configured discounts or tax amounts against the details you intend to issue.
Choose an issue date and a due date. The due date cannot come before the issue date. Put payment instructions and useful context in the document rather than relying on a separate message to explain everything.
Review, then finalize
A normal draft can be edited before finalization. Finalizing assigns the document number and stores the issued PDF and document details. Later customer or workspace changes do not rewrite that issued PDF.
This makes finalization a useful review point. Check the customer, descriptions, total, dates, and payment instructions together. If you imported tracked time, also review the selected entries before creating the draft.
Share the invoice and keep the record current
You can download the PDF and share it through your normal customer communication. Klaq can also queue an invoice email when the sending service is configured. Queueing and provider acceptance do not prove that a customer opened the message.
When payment arrives, record it against the invoice. A partial payment leaves the remaining amount outstanding.
Common questions
Can I change an issued PDF by editing the customer?
No. Issued documents preserve their original details. Update the customer for future documents and use the available document actions for the existing invoice.
Does saving a draft send an email?
No. Draft preparation, finalization, and email queueing are separate actions.
