Invoice templates: make future documents consistent
Use the styles and customization available to your plan while understanding why issued PDFs keep their original appearance.
A consistent invoice is easier to recognize and review. In Klaq, document settings and eligible customization features help you prepare future invoices and estimates without changing what was already issued.
The short version
Check the document styles and customization available in your workspace, choose the settings you want to use, and review a draft before finalization. Issued PDFs preserve the details and appearance stored when they were finalized.
Start with the information the customer needs
Before adjusting the appearance, check the business identity, customer details, document descriptions, payment instructions, and dates. A recognizable layout is useful only when the underlying information is correct.
Keep notes concise and specific to the document. Use a clear email subject and message when preparing invoice communication rather than expecting the PDF design to explain the whole engagement.
Use the controls your plan provides
Klaq supports built-in document styling and plan-dependent customization. Eligible workspaces can use saved template settings such as colors and email text. Available styles and saved-template controls depend on the workspace entitlement.
Use the product's actual options rather than assuming you can upload any HTML layout or build an arbitrary PDF design. This is a document customization workflow, not a general design editor.
Understand when settings take effect
Review the settings before issuing the document. Finalization stores the document details and generates the issued PDF from the applicable settings.
A later customer edit, template change, or workspace branding update does not rewrite that stored PDF. This preserves the original issued document as a reference.
If you need to confirm the result for a new invoice, review the document available through the workflow before sending it to the customer.
Treat email and attachments as separate review items
Where template attachments and email copy are available, inspect the content you intend to send. A useful attachment should belong to the document's purpose, and the email should identify the invoice clearly.
Queueing an email remains an explicit action. Selecting a template or saving an invoice draft does not prove an email was sent or read.
Common questions
Does a template change update earlier invoices?
No. Issued PDFs retain their stored appearance and details.
Can I promise a particular template count or feature on every plan?
Check the current workspace options and plan information. This guide deliberately avoids fixed template-count claims that may change.
