Reusable invoice items: stop rewriting the same service
Keep repeat services in your catalog, then review their descriptions and prices each time you use them in a document.
If you regularly bill for the same service, a reusable catalog item gives you a consistent starting point. It helps you spend your review time on the work that changed instead of typing the same description again.
The short version
Create a catalog item for a service you genuinely repeat. Reuse it while preparing an invoice or estimate, review the document's actual line items, and keep the catalog current for future work.
Make the description recognizable
Choose a name that makes sense both inside your workspace and in a customer document. “Monthly website maintenance” describes a repeat service more clearly than an internal shorthand that only your team understands.
Keep a useful baseline description and price. If a service often varies, explain the normal unit of work so the person preparing the document knows what to check.
Treat the catalog as a starting point
A reusable item does not decide what you agreed with a particular customer. Review the quantity, unit price, description, and currency on the document before you issue it.
For example, a catalog item may describe a standard review session while the current engagement includes two sessions and an extra written summary. The invoice should reflect that specific agreement.
This review matters even if the item was used successfully on a previous project. A familiar line can still contain an outdated price or an incomplete description.
Separate catalog maintenance from document history
Updating a catalog item helps prepare future work. It does not rewrite an issued invoice or estimate.
Klaq stores the issued document details and PDF at finalization. That gives you a stable reference for what was actually issued, even if the catalog changes later.
Archive items you no longer use to keep the working list relevant. Archiving a reusable item is different from removing the financial history of the documents that previously used it.
Combine reusable items with deliberate review
Use reusable items to create consistent drafts. Use the estimate workflow to discuss proposed work, and use the invoice checklist before issuing the final document.
For repeat monthly or yearly work, a recurring profile can prepare future drafts on an eligible workspace. That remains a separate feature from maintaining the item catalog.
Common questions
Will changing an item update every old invoice?
No. Issued documents preserve their stored line details.
Is the catalog the same as a recurring billing schedule?
No. A catalog stores reusable billing items. A recurring profile controls the creation of repeat drafts.
